Submission Guidelines

The following are the specific VRA requirements on style, formatting, account creation, and the submission of articles to the online VRA Bulletin It is highly recommended that you look these over before uploading any materials.

Style & Formatting

  • Make sure that your personal and manuscript information (author(s), title, keywords, abstract, etc.) is separate from the actual article. The system automatically adds this information from the fields you complete online.
  • For uniformity and easier online reading, a Times Roman 12 point font is recommended.
  • Single-spaced articles with the first word of each paragraph indented is the preferred form.
  • Left justify your margins, do NOT use right justification.
  • Remove any page numbers you have in your article, because the system will be generating these automatically for the entire issue.
  • Follow the Chicago Manual of Style, 17th edition, style guidelines, especially for headings and references, and Merriam Webster’s Collegiate Dictionary, 11th edition, is also recommended.
  • Where available, provide full URLs for the references.
  • Illustrations, figures, and tables should be placed within the text at the appropriate points (preferred), but may also be uploaded as supplemental files and linked separately (preferred for large audio or video files).
  • All photographs and reproductions should be clearly documented with appropriate caption information. Contributors are responsible for obtaining permission for the reproduction of copyrighted materials and for reproduction fees. This permission must clearly state that the material may be reproduced in the VRA Bulletin in its electronic edition. Images should be no more than 6" in width and scanned at a resolution between 150–300 dpi, preferably in color. The larger the file you upload, the longer the download time for readers.
  • Please refer to Strunk and White’s The Elements of Style for basic guidelines for formal writing.

Create an Account

Bookmark the VRA Bulletin web site and create an account to provide you with a username and password (take note for future system access; if you don’t remember your password, it can be e-mailed to you). Registration and login are required to submit items online and check the status of current submissions. Upload biographical, manuscript, and article information mentioned below (only you have all the information that is needed to make your journal entry complete).

Initial Submission

Whatever you type into the online fields is what you will see in the cover pages of the article in the published issue of the electronic journal. But you may revise this information any time before publication and/or upload new versions of the article as need be. Please be sure you have the following items ready in electronic form before submitting (to copy and paste/or type in directly):

  • Article Title,
  • Keywords (specific search terms for your article),
  • Subject categories (choose from menu options),
  • Acknowledgments (optional),
  • Short biographical information about the author or authors (a few sentences),
  • An abstract of 400 words or less,
  • Article in document format, such as OpenOffice, Microsoft Word, or RTF.

(Just the text of the article should be submitted without a title page, abstract, or page numbers within the document. These will be generated by the system from the information you provided online.)

Adjustments and Editing

If your uploaded information or manuscript requires adjustments, the editors will contact you through the online system. The copy editors tend to use the "track changes" tool to suggest edits. You may accept or reject the changes individually or accept them all at one time. Please make sure to remove all "track changes" markings in your document before uploading the final copy, or they will appear in the online journal. When extensive rewriting is required before a submission is publishable, the article will be returned to the author with suggestions for rewriting. The editorial staff may not seek approval for minor editing done for style and grammar. Authors re-submitting manuscripts are expected to complete their revisions in a timely manner.

To upload the most current version of your article, you should NOT create a new entry, but edit what you previously uploaded. (You do not have to go through all of the steps of adding personal and manuscript information already stored online, but just need to revise the article portion of what you originally submitted).

  • Log-in,
  • Click on the submitted article's title,
  • Select "Revise Submission" from the vertical menu on the left,
  • Scroll down to the "Full Text of Submission" area (note there is both an inner and outer scroll bar),
  • Click on button for "Upload File from Your Computer or Import File from Remote Site" as appropriate,
  • Click on the "Choose File" button and browse until you find the current version of your article, then select it,
  • Scroll down to "Cover Letter and/or Reason for Update" (optional)
  • Click on the "Submit Changes" button at the bottom of the page.

To revise your biographical and article information (you may revise this information any time before publication):

  • Log-in,
  • Click on "My Account"
  • Click on the submitted article's title,
  • Select "Revise Submission" from the vertical menu on the left,
  • Scroll down and make any necessary changes to the biographical and article information (note there is both an inner and outer scroll bar),
  • "Cover Letter and/or Reason for Update" is optional;
  • Click on the "Submit Changes" button at the bottom of the page.
